Hippoly glossary
A
Action A task or to-do item assigned to a workspace member with a due date. Actions can be created from meetings, posts, or the action list and are tracked in the My Actions view.
Agenda A structured outline of discussion points for a meeting. The agenda is built using the Agenda Builder and can include items with descriptions, file attachments, responsible persons, and time allocations.
Agenda Builder The tool in Hippoly for creating and editing meeting agendas. It supports drag-and-drop ordering, sub-items, file attachments, and AI-assisted suggestions.
Annotation A private note you add to a specific part of a document. Annotations are only visible to you and are useful for capturing thoughts or questions during review.
B
BankID A digital identity verification method used for e-signing. Hippoly supports Swedish BankID, Norwegian BankID, and similar national eID solutions.
Board Pack A complete digital collection of meeting materials — the agenda and all attached documents — organised together so participants can review everything before the meeting.

Collaborator A person invited to view or edit a document that is still in draft. Collaborators can have either the Editor or Viewer role.
D
Direct Message A private conversation between two or more workspace members, separate from posts. Direct messages can include text, files, and images.
Draft A document status indicating that the content is only visible to the creator and invited collaborators. Drafts are not visible to the rest of the workspace until they are shared.

Editor A collaborator role that allows the person to read and edit a draft document, invite other collaborators, and publish changes.
E-signing The process of adding a legally recognised electronic signature to a document directly in Hippoly, powered by Scrive.
F
File Versioning Automatic tracking of previous versions of an uploaded file. When a file is updated, the previous version is kept in the version history.
FTN (Finnish Trust Network) A Finnish digital identity verification method used for e-signing in Hippoly.

Hippoly Docs The built-in collaborative document editor in Hippoly. Hippoly Docs supports real-time co-editing, version history, e-signing, and PDF export.

Meeting Admin A meeting role with the same permissions as the organiser — they can edit the agenda, upload materials, and manage meeting settings.
Meeting Minutes The formal record of a meeting's discussions, decisions, and action items. Meeting minutes are created by the secretary and can be reviewed, approved, and e-signed directly in Hippoly. Also referred to as the protocol.
Meeting Organiser The person who creates a meeting. The organiser has full control over the meeting settings, agenda, participants, and materials.
Meeting Participant A user invited to attend a meeting. Participants can view the agenda, attached materials, and meeting minutes.
Meeting Secretary The person responsible for writing the meeting minutes. The secretary role is automatically assigned to whoever creates the minutes.
MitID A Danish digital identity verification method used for e-signing in Hippoly.

Notification An automatic alert about activity in your workspace. Notifications can appear in-app, as push notifications on your device, or as emails, depending on your settings.
Note A private text record you create for yourself. Notes are only visible to you and are useful for personal reminders or preparation.
P
Poll A voting or survey feature that can be attached to a post. Polls allow single or multiple-choice answers and results are visible to all workspace members.
Post A message shared with everyone in the workspace. Posts can include text, images, files, and polls, and workspace members can comment on them.
Protocol Another term for meeting minutes, commonly used in board governance contexts.
R
Registration Code A unique code that links your workspace to your organisation. Registration codes can unlock organisation-specific templates, branding, and settings.
Revision A saved version of a document. Every time a document is edited and saved, a new revision is created. You can browse, compare, and restore previous revisions from the version history.
S
Scrive The third-party e-signing provider that powers Hippoly's digital signature capabilities. Scrive handles secure delivery, identity verification, and audit logging.
Shared A document status indicating that the content is visible to everyone in the workspace. To edit a shared document, you start a new version.
Signed A document status indicating that the document has been e-signed. Signed documents are read-only and the signed PDF is stored alongside the document.
Signer A person who has been asked to e-sign a document. Signers can be workspace members or external parties.
Signing Method The way a signer verifies their identity when e-signing. Options include Swedish BankID, Norwegian BankID, Danish MitID, Finnish FTN, SMS PIN, or no additional verification.
Signing Order A setting that controls whether signers sign in parallel (all at once) or in a specific sequence (one after another).

Template A pre-built document or agenda structure that can be reused when creating new content. You can use built-in templates or save your own documents as templates.
V
Viewer A collaborator role that allows the person to read a draft document but not make changes.
Version History A chronological record of all saved versions of a document or file. You can view, compare, and restore any previous version.
W
Workspace The secure, shared environment where your team collaborates in Hippoly. A workspace contains all your posts, meetings, documents, files, and messages.
Workspace Admin A user role with administrative privileges. Workspace admins can manage settings, invite and remove users, and access most workspace data.
Workspace Member A regular user role with full access to workspace features, including creating meetings, documents, and posts.
Workspace Owner The highest-level user role in a workspace. The workspace owner has full control over all settings and is the only person who can request workspace deletion.
